Kuali OLE Monthly Update for Partners – February 2015

Active teams

● Deliver (Lead SME: Emily Batista)

○ Several members of the Deliver team learned how to write Test Scenarios in order to complete specifications for a number of major enhancements.

○ We submitted a very large number of OLETS and spent much of the month refining and testing scenarios related to an entirely new view of item records (Deliver-centric) and a new process for placing patron requests on the staff side, as well as supporting more local configuration options for notices and request processes.

○ SOAS worked on 3M self-check issues directly with HTC and coordinated with other institutions to assure a successful implementation for all partners who use self-check.

Describe (Lead SME: Mechael Charbonneau)

○ All Describe acceptance criteria and OLETS were submitted and 1.6 testing was on target throughout the month.

○ Revised bib import profile constant values functionality was finalized and will be applied to all incoming records without regard to the presence of that field in the incoming record. The constant value process will append a new MARC field to the incoming record and will no longer overwrite existing information.

○ Members reviewed a draft functional spec prepared by Bob Persing (Select & Acquire) which also incorporated Describe’s earlier work regarding the need for more complex logical browser tab names.

○ Jaya Bharath (HTC) demonstrated the new cross document search capabilities that will appear in 2.0. This new functionality will be particularly handy for identifying record subsets when using OLE’s global change capabilities for holdings and/or item records.

○ Describe discussed the desirability of adding repeatable statistical codes to holdings records as well as item records.

Select & Acquire (Lead SME: Sharon WilesYoung)

○ Rollover testing continues for 1.6.

○ E-Acquisitions team is beginning 2.0 functionality testing.

○ Team continues to review enhancement requests.

GOKb (Lead: Kristen Wilson)

○ Lehigh and Rutgers began training in February and should be contributing data to GOKb by the end of March.

○ Duke will begin training in March.

○ Ebook data model design workshop will be held April 23 at NCSU; details soon.

○ Kristen Wilson and Kristin Antelman will present on GOKb at the UK Serials Group meeting in Glasgow on March 30 and 31.

Implementation Team (Lead: Patty Mescher)

○ Several institutions have struggled with implementing KRMS rules for their circulation policies. This has led to a larger review with assistance from the Kuali Rice team.

○ General bound-with loading instructions were determined needed; Lehigh has shared it’s code solution and the documentation request has been added to the queue.

Consortia Team (Lead: Matt Sargent)

○ The team has begun to gather requirements and review which of those are already available in OLE.

Kuali OLE Monthly Update for Partners – September 2014

Active teams

Deliver (Lead SME: Emily Batista)

○ The Deliver team has been working very hard on developing detailed functional specifications for five major areas of OLE enhancements. These include batch notice location limits, a deliver-specific item display interface, a completely revised request workflow, and major changes to both claims returned and lost item functionality. Five sub-teams work independently on the initial specs, with the full team discussing and reviewing all the work.

   ● Describe (Lead SME: Mechael Charbonneau)

○ At the request of S&A’s E-Resources Spec Team, Describe SMEs reviewed a draft supplemental specification for importing bibliographic records from GOKb.

○ The group continued its work of reviewing bug and enhancement requests currently coded as “OLE ?“ in order to assign them to appropriate fix versions.

○ Provided feedback on the draft cross document searching functional specification.

○ Lisa McColl (Lehigh), Doreen Herold (Lehigh), and Janet Fox (Chicago) presented an informal batch import demonstration to the Describe team. Lisa also presented a separate introductory session (“Bib Import 101”) to all interested OLE partners on writing bib import profiles and importing bibs.

   ● Select & Acquire (Lead SME: Sharon Wiles-Young)

○ The rollover team led by Lynda Clendenning is working on rollover specs and functionality. Scott Perry is assisting with testing, using Chicago’s data and test database

○ Vijay demonstrated to the S&A team and the e-acquisition spec teams some of the new development in e-resources. The team got to review e-resource record screens with new functionalities such as the price increase widget being developed. It is very exciting to see this development.

○ Added new representation from Florida, Paul McDonough, and from Lehigh, Dan Huang. Bob gave an overview on OLE documentation and important OLE links to the new members.

○ S&A team continues to review enhancements in OLE ?, check if specs are needed and then decide to add to roadmap.

○ Discussed a work around for the OLE6733 rounding issue on invoices until development can be done on this Jira.

   ● GOKb (Lead:: Kristen Wilson)

○ Release of GOKb 4.0.0 is now scheduled for Oct. 31. This release will be branded as a public preview. It will include fully functional software, but a limited amount of data to start.

○ NCSU and Chicago staff have received training on GOKb data loading and will be contributing data to the live system beginning in October.

○ Kristen Wilson will be presenting on GOKb at the Charleston Conference on Nov. 7 from 11:30-12:15.

○ Kristen, along with members of the GOKb development team and steering committee, will be meeting at Charleston with potential vendor partners for GOKb, including OCLC, EBSCO, WT Cox, and Elsevier.

Coding Update

(Changes can be reviewed in the Quality Assurance Environment: http://qa.ole.kuali.org/portal.do)

Coding for 1.5.3 has continued during the month of September. OLE continues to work to address the needs of the early implementers. Several of the issues that were worked on during September include the system lag times, in particular loading bibliographic records with many items attached, invoice records, and generating overdue notices took too long. Additionally there have been some database changes, one of which was to counter some of the lag time of the system when generating overdue notices.

More detailed information of bug fixes addressed in each release tag can be reviewed on the OLE

Kuali OLE Monthly Update for Partners – August 2014

Active teams

Describe (Lead SME: Mechael Charbonneau)

○ Welcomed new Describe SME member Amy Weiss, Head of Description and Cataloging, Florida State University representing the Florida Partners.

○ In preparation for the Functional Council’s F2F meeting discussion of the OLE Roadmap, members reviewed all pending enhancement requests and used the voting feature in Jira to denote partner interest at the SME level.

○ A functional specification was written and submitted that would allow for the ability to undo a bound-with relationship (OLE5233).

○ Neil Frau-Cortes (Maryland) agreed to serve as Describe’s representative on a small task group tasked with writing the specifications and creating test cases for cross document searching within the Search Workbench.

○ Lisa McColl (Lehigh) volunteered to be Describe’s Balsamiq software expert and wireframe creator.

   ● Select & Acquire (Lead SME: Carlen Ruschoff)

○ Continued to review S&A tickets that have not been assigned to a version. All tickets assessed as Blocker, Critical, or Major were moved to the OLE Roadmap for prioritization by the Functional Council.

○ Established a Fiscal Year Rollover Task Group to: (1) learn what’s already in OLE vis-à-vis this function; (2) review/finalize the functional requirements document to make sure it is as complete as possible; and then (3) compare the two and come up with detailed instructions as to what existing features can stay as is, what existing features need to be modified, what existing features should be turned off, etc. Members are: Lynda Clendenning IU, chair; Shyama Agrawal, Duke; Maria Collins, NCSU; Dan Huang, Lehigh; Scott Perry, Chicago; Bob Persing, UPenn.

   ● GOKb (Lead:: Kristen Wilson)

○ GOKb workshop for OLE partners held on Aug. 26; 19 people from 9 institutions attended; next steps will be to determine individual levels of involvement

○ K-Int is continuing development of GOKb 3.5 scheduled for the end of September

○ Development team is preparing the production version of GOKb for data loading

○ David Kay met with Proquest reps in Seattle. They are potentially interested in collaborating with GOKb on sharing identifiers and creating title history metadata.

   ● Implementation Team (Lead: Patty Wanninger)

As the implementation teams at the University of Chicago and Lehigh University pushed to shut off their old systems and bring OLE live in production, one was reminded of Leonard Bernstein’s quote: “To achieve great things, two things are needed: a plan, and not quite enough time.”

The project owes a great debt to these institutions. The Implementation teams at both these institutions drew the project through the difficult process of standing up a production instance of OLE. Some issues remain. Chicago has ordered new hardware, and several issues, including connecting to ILL services through Z39.50, will be addressed in 1.5 patch releases.

Other institutions continue to work on bringing up local instances of OLE for testing and training. UPenn is working on the “OLE University” instance as well as its own. OLE University is intended to serve as a working example of a library system that will be useful for implementation, demo and training purposes. Maryland, Duke, Indiana and Villanova are actively working on testing and training installs.

Coding Update

Coding for 1.5.X has continued during the month of August. We began the month on 1.5.2, 1.5.2.1 was created as a patch, and finally we finished out the month on 1.5.3. OLE continues to work to address the needs of the early implementers. Below is a summary of coding efforts; more detailed information of completed tasks as well as the bug fixes addressed in each release tag can be reviewed on the OLE wiki pages:

Iteration 1.5.2D        Iteration 1.5.3A        Iteration 1.5.3 Release

Iteration 1.5.2.1A     Iteration 1.5.3B

-Select and Acquire

● Foreign currencies on an Invoice are now displayed along with base currencies when the invoices are for foreign vendors.

● Changes continue to be made to batch importing as the implementers find bugs/defects.

-Describe

● The 003 field can now be set to your institution’s organization code during implementation from the configuration file.

-Deliver

● Modified cancellation notices so that patrons are notified no matter if the cancellation was done manually or by the system.

● Several bug fixes for Deliver were corrected to simplify the workflow of the circulation staff.

-System Integration

● Barcodes with hyphens caused problems in both NCIP and OLE’s search workbench; this was fixed with the patch release.

● Development continues to improve OLE’s performance time.

● Upgraded to Solr 4
