○ Continued testing of circulation features

○ Finalized list of enhancements desired in 2.0

○ Completed 1.5 functional specifications for the MARC bibliographic editor enhancements

○ Drafted functional specifications for batch deletion of instance/e-instance records

○ Reviewed and provided feedback on S&A specs and recommendations for:

■ recording donor code information in the instance record

■ display of serial receipt holdings information in the instance record

○ Began work on acceptance criteria and confirmation text in preparation for OLE 1.5 QA

○ Worked with Michelle Suranofsky (Lehigh) to review Describe UI portal mockups and to provide initial feedback on a draft spec for the new search integration framework slated for OLE 1.5

Select & Acquire (Lead SME: Carlen Ruschoff)

○ Tested and refined the specs for the import of order data embedded in the 9XX field of the bib record.

○ Looked again at the einstance ingest spec and gave final approval.

○ Refined specs for recording donor information in POs.

○ Drafted a description of the role of “alerts” and “ticklers” in managing electronic resources.

○ Proposed to Functional Council that coding for ONIX –PL be postponed to reduce the number of hours required to develop the code. Instead, develop a local editor similar to that used in KB+ which will require fewer resources to do. OLE can add ONIXPL support in a later release if desired.

System Integration/Infrastructure (Lead SME: Chris Case)

○ Worked on finalizing revisions to ERD for RDBMS hosting of cataloging records

○ Continued finalizing revisions to the OLE Instance Schema

○ Researched MARCEdit authentication issues

Consortia Team (co-Leads: Rachel Schipper, Chris Case, Carlen Ruschoff)

○ Progressed with the refinement of the consortia “needs” list

 

Coding Update

In December, remaining bugs from 1.0 continued to be fixed while some major efforts have been occurring behind the scenes: a few data models and the Instance schema are undergoing modifications, OLE’s portal changes continue to be evaluated, and search framework requirements are being gathered. Select and Acquire

● Repeatable fields in the E-Resource and the E-Instance records have been updated to add data without having to click an additional button before saving the record.

● Note fields on the Serials Receiving record have been improved. Users can click the expand icon to add additional text.

Describe and Manage

● Following the upgrade to Rice 2.3.2, there were additional modifications to make to correct errors on the bibliographic editor.

● Bib Import Profile was enhanced to protect 024 fields MARC fields upon import, not only the 024 $a field as it had been.

Deliver

● The Calendar’s set dates have become clearer for users and Exception Types now allows libraries to define their own exceptions: snow day, holiday, etc.

● Modification have been made to the Request screen to merge several tabs into one “Request Details”.

● Library staff can now reinstate inactive barcodes for patrons.

System Integration

● Testing of bulk loading continued to be tested since changing from a Jackrabbit to RDBMS database.

○ Several Describe SMEs from Chicago, Indiana, and Lehigh participated in the 2013 Kuali Days conference held Nov. 1722 in San Diego. Two of our members also gave presentations:

■ Doreen Herold: “Kuali Ole: An Integrated and Sustainable Development Model at Lehigh University”

■ Frances McNamara: “Getting Started with Kuali OLE”

○ Compiled OLE partner feedback and submitted a document entitled “Authority Control White Paper: Member Library Input” to the Functional Council for consideration and next steps.

○ Finalized Describe 1.0 user documentation.

○ Reviewed Describe functional requirements needs for 1.5 and 2.0.

 ● Select & Acquire (Lead SME: Carlen Ruschoff)

○ Drafted documentation for 1.0 Select & Acquire functionality

○ Completed the scope for 1.5. Agreed to review the data model for supporting eresources in 1.5 and moved all eresource development into 2.0

Coding Update

(Changes can be reviewed in the Test Environment: http://tst.ole.kuali.org/portal.do) In November, OLE completed and released 1.0. Then began 1.5 coding efforts. Highlights are mentioned below. More detailed information of completed tasks can be reviewed on the OLE wiki page: Iteration 1.5a

● OLE has upgraded to Rice 2.3.2.

● Noncritical bugs remaining from 1.0 were fixed.

● Critical or blocker bugs discovered late were also quickly remedied.

● DocStore searching has been improved by making “Staff Only” records stand out

● Enhancements have improved the overall user experience with better labeling, larger text fields, and clearer error messages.

Kuali OLE Monthly Update for Partners – October 2013

○ 1.0 QA testing was finalized.

○ Collaborated with S&A on issues such as where serials receiving information should display on the OLE instance and whether or not location should be automatically populated in both the holdings and item records upon creation of a requisition line item.

○ As part of the Kuali Foundation’s effort to pull together information about each project, revised the draft Describe 1.0 key features section for the OLE Functionality Narrative.

○ Reviewed the updated scope document for 1.5. Describe is in good shape going into 1.5 development with four functional specs already submitted and a fifth spec almost completed.

○ Updated Describe 1.0 user documentation.

○ In the process of pulling together all of the OLE partner feedback received on the Authority Control White Paper (dated June 19, 2013). Many thanks to Chicago, Indiana, Maryland, NCSU, and Penn for submitting comments!

Select & Acquire (Lead SME: Carlen Ruschoff)

○ 1.0 QA testing was completed.

○ Revised the 1.5 scope document to maintain the ‘reality triangle.’ Developments for e-resources has been moved to 2.0.

○ Finalized the OLE Functionality Overview Narrative for Select and Acquire.

○ Began working on the Guide to the OLE Select and Acquire Module for release 1.0.

○ Posted draft documentation on Serials Receiving on Google Docs for SME review

System Integration/Infrastructure (Lead SME: Chris Case)

○ Finalized 1.0 QA testing.

Consortia Team (co-Leads: Rachel Schipper, Chris Case, Carlen Ruschoff)

○ Documentation of issues and transition to the cross module team for project roadmap inclusion.

○ Descriptions developed for each consortia environment using USMAI RFI as a guide.

○ Due to Kuali Days UK 2013, the team met once during the month, and then worked individually on developing a draft agenda for the upcoming Kuali Days consortia F2F (November 18th, 2 p.m.)

Select and Acquire:

● OLE’s Invoice document has had several additional changes to improve the display, warn users if there are discrepancies between the vendor’s record and OLE’s, and totals will update automatically when users update accounting lines.

● The Electronic Instance now has the same button functionality as the OLEInstance

● Users can import e-instances within OLE. E-instances are used for the management of electronic resources.

Deliver:

● Ironed out roles and permissions for circulation and patron management.

● Improved the formatting of overdue notices

Describe:

● Through the bib import profile, users can specify characters to remove from the 001 field during batch importing.

● Improvements have been made to the batch export to pass validation and get accepted into the discovery layer.

System Integration:

● Improvements have been made to the bib import profile for matching on the 001

● Added the e-instance to the instance detail that it may be used dynamically by the discovery layer

● Batch exporting of records now allows users to export e-instances (electronic holding records) together with OLE Instances (holding and item records) or alone.

The Kuali OLE Team is Proud to Announce the Release of OLE 1.0!

The Kuali Open Library Environment team has released Kuali OLE 1.0, the first community-source integrated library system designed by and for research libraries. In addition to the functionality described below, Kuali OLE 1.0 allows early adopters to map data from legacy library systems to begin implementation, as well as allows libraries to review the system and its installation requirements. Future releases will provide the additional functionality necessary for libraries to move into full production.

Highlights of 1.0

This release brings us many strides forward from 0.8 and features a redesigned user interface that is more intuitive for library staff. Library functions are now grouped into tabs by module (check out the Test Drive and see for yourself!). Additional design improvements will occur before the 1.5 release, as we continue to respond to feedback from subject matter experts.

•In the Deliver module, Fixed Due Date, Calendar, and Calendar Group documents allow users to manage library hours and set automatic return dates within OLE.

•In Select and Acquire, several new interfaces and e-Documents have been added.

•An Invoice document allows users to pay for multiple orders from each vendor and a Serials Receiving portal maintains subscriptions and tracks issues, supplements and indices.

•The E-Resource document, a key building block of OLE’s electronic resource management, allows users a preview of our development toward implementing this progressive feature.

•The System Integration team has been working to include the ability to export records from OLE to a Discovery Layer or other external utility.

OLE 1.0 has also seen several upgrades to existing functionality.

•Roles and permissions have evolved to better suit library needs.

•In Describe and Manage, enhancements to the Bibliographic Editor brought improved structure to MARC leader fields.

•Although additional improvements are planned for 1.5, the editors have evolved tremendously and an E-Instance editor is included to maintain holdings for e-resources.

•Throughout the interface, searching now incorporates patron and item barcodes as well as local identifiers for ease of use and faster results.

•All importing of records – locations, patrons, bibliographic – have been merged into a single interface, and batch delete capabilities have been implemented. Users may also export from this single interface, Batch Process, creating a one-stop convenience.

OLE’s architecture has evolved from requiring three database applications to two. In 1.5, this will drop to one, creating a cleaner application for installation. For 1.0, OLE has incorporated an RDBMS content repository to improve performance of the DocStore, and Rice and Java have been updated to that end as well. Multiple bug fixes are also included in this improved version of OLE.

Next Steps

The next release, OLE 1.5, is scheduled for Quarter 1, 2014 and will include all necessary functionality for library management and an upgrade path to future releases. OLE 1.5 will be the implemented by the University of Chicago and Lehigh University in the summer of 2014. Kuali Days 2013 – San Diego, California

Kuali Days 2013 will be held November 18-21 at the Sheraton Hotel and Marina in San Diego, California. This is a great time and place to meet with the Kuali Community, welcome newcomers, and enjoy a fabulous city with lots of sites to see. Kuali Open Library Environment (OLE) is an open-source library management system built by higher education for higher education. Whether you’re an established Kuali OLE member or a newcomer, there will be plenty of opportunities for you to connect, learn, and add value to the conference by sharing your knowledge and questions.

If you are new to Kuali, please join the Newcomer’s Session on Monday, November 18 at 4:30pm in the Executive 2 meeting room. Community members will be on hand to provide short overviews of the Kuali portfolio of applications in a speed dating format to make sure we’re able to present plenty of information and answer lots of questions in a quick, easy, and fun way.

Select and Acquire:

● Completed coding on updates to Import: EDIFACT files populate OLE’s Invoice, fund checking during the import process, and additional updates have been made to create/match OLE Instance records during batch importing.

● Purchase Orders and Requisitions enhancements include: Staff can attach an existing bib record to a line item instead of creating new each time, modifications to required fields simplify the order process.

● Serial Receiving, OLE’s Invoice document to manage many purchase orders to one invoice, and the E-Instance Record to support library’s electronic resources have all been created.

● Receiving improvements include location changes for multi-copy, multi-part items and a “pay” button has been added to OLE’s receiving queue to allow staff to pay but not receive items.

Deliver:

● Roles and permissions have been added to allow each library to be as flexible with staff permissions as they so choose.

● Circulation Calendars allow each library to set their own open/closed dates and hours for circulation policies.

Describe:

● The MARC editor 1.0 enhancements are nearly completed and modifications to the OLE Instance (Holding and Item) editor include a copy number field and locations can be edited at the item level.

● OLE’s DocStore displays links that read item call numbers instead of nonspecific terms such as “item 1”.

● In 0.8, a bib had to have at least one OLE Instance, and an OLE Instance had to have at least one item. Now OLE allows bibs to have holdings and/or items or neither.

System Integration:

● Local identifiers for all records within the DocStore have been incorporated and are searchable in OLE.

● Coding has been completed to export single or batch records to Discovery Layers and other utilities.

Kuali Days UK, October 29-30, 2013 – Dean Brenda Johnson to Serve as Keynote

 September 9, 2013 – Bloomington, Indiana and London, United Kingdom

The Kuali Foundation is proud to announce a new Kuali Days Event. Kuali Days United Kingdom (KDUK) will be held October 29-30, 2013 at Senate House Libraries in central London. The event will run from mid-day October 29 through early afternoon October 30, with a reception held on the evening of the 29th.

The event is being jointly hosted by the Kuali Foundation, Kuali Open Library Environment (OLE), Senate House Library, and the Bloomsbury Library Management System Consortium. Corporate sponsors for the event include EBSCO Publishing, HTC Global Services, Inc., and K-Int. (Knowledge Integration).

Details and registration for the 2013 KDUK event will be posted to the Bloomsbury Library Management System Consortium website by mid-September 2013. The event will feature such keynote speakers as Brian D. Voss, Vice-President of Information Technology and CIO at the University of Maryland and Kuali Foundation Board Member, Brenda L. Johnson, Ruth Lilly Dean of University Libraries at Indiana University and Kuali OLE Board Member, and John Robinson, Director of Library and Information Services at SOAS-University of London and Kuali OLE Board Member.

Kuali OLE Monthly Update for Partners – July 2013

Active teams

Deliver (Lead SME: Stuart Miller)

○ Specified changes for dealing with missing pieces, damaged items and “claims returned” in 1.5

○ Reviewed circulation calendar requirements with HTC

○ Identified other enhancements for 1.5

○ Continued testing fixes as requested

Describe (Lead SME: Mechael Charbonneau)

○ Finalized 1.0 functional specifications for Describe roles/permissions.

○ Met with HTC to signoff on 1.0 bib editor enhancements needed for structured Leader and Control Fields and staff only (“hide from public view”) functionality.

○ Completed 1.0 acceptance criteria and testing assignments.

○ Worked on Describe 0.8 functions/bug fixes slated for version 1.0 (i.e., instance record (holdings/items) left pane navigation and call number display).

○ Began to review and work on completing specifications for 1.5 functionality.

○ Collected feedback from partner institutions regarding the OLE Authority Control White Paper.

Select & Acquire (Lead SME: Carlen Ruschoff)

○ Reviewed all master 1.5 tickets to ensure each was assigned

○ Reviewed and approved most 1.5 specifications

○ Consulted with PM on specs for fiscal year roll over and agreed to move spec to 2.0

Consortia Team (coLeads: Rachel Schipper/Chris Case/Carlen Rushoff)

○ Discussed scope and 2.0 timeline

○ Developed list of 12 consortia considerations

○ identified a need for consortia concept mapping

○ Reviewed current functionality for potential consortia use

Coding Update

✫One of the major tasks for 1.0 and a prominent change of OLE is the unification of our user interface. While even clearer tabs and cleaner menus are in the works, we cheer at the progress made.

Select and Acquire:

● The addition of the EResource Record and its maintenance documents is in the works.  This is a document that provides a centralized location to store information about eresource acquisitions.

● New Invoice document (multiple orders: one invoice) and Serials Receiving interface are also in production.

Deliver:

● Bugs have been fixed, and enhancements have been recognized and implemented to improve circulation and patron maintenance.

Describe:

● Call numbers are displayed for OLE Instances (holding and item records) in the DocStore.

● Bib editor enhancements include structured Leader and Control Fields and the incorporation of electronic Instance records.

System Integration:

● Testing and modifying Meta Proxy Server and Z39.50 searching/retrieving.

Kuali OLE Monthly Update for Partners – June 2013

Active teams

  • Deliver (Lead SME: Stuart Miller)

◦Provided documentation for 0.8 circulation functions and an overview of the module for circulation librarians

◦Completed testing of various 0.8 features

◦In conjunction with Core Team, finalized Deliver features/functions/bug fixes for version 1.0

  ◦Began to identify features/functions for version 1.5 and which ones needed additional functional requirements

  • Select & Acquire (Lead SME: Carlen Ruschoff)

◦Finalized functional 1.0 specifications for P.O and requisition enhancements, the e-resource record, receiving enhancements, and invoice specifications

◦Instituted a weekly spec “hand-off” meeting with HTC to discuss in detail spec the specification documents

◦Met with HTC to work out batch import profiles, processes, and the user interface

  • GOKb (Lead:: Kristin Antelman)

◦GOKb has been set up in the Kuali environment (http://gokb.kuali.org/gokb/) with initial data loaded. Contact the GOKb team for login.

◦Work on the UI is beginning.

Coding Update

In June, development began on the 1.0 coding efforts. There were a few bugs and enhancements from each module that were fixed. You may review them on the June 19 wiki page, however most of the development for this month was done behind the scenes:

• OLE was upgraded to Rice 2.2.5 and Java 7.

• The DocStore has incorporated an RDBMS repository to improve performance.

• Plans for unifying OLE’s interfaces are on their way (The Rice 2, library system, tab will be combined with the financial system).

• Coding efforts have begun on many of the 1.0 specifications but these have not yet been promoted to the OLE test environment.
